Connect Everything

Real integrations, not just connectors.

GearHead reads and writes across 38+ business tools, not just pulling data, but actually working in them. Email gets answered. Tickets get created. Invoices get drafted. Calendar events get booked. The whole stack acts like one system.

38+ Deep Integrations

Most AI platforms have "connectors", they can read from a few apps if you set them up. GearHead has deep two-way integrations with the tools small businesses actually use. That means it doesn't just see your data, it works in your apps. Drafts the email and sends it. Creates the JobNimbus job. Files the QuickBooks expense. Books the Calendly call. Updates the Salesforce opportunity. One conversation, work completed across your whole stack.

What it does for you

A partial list of what GearHead reads from and writes to in real time.

Email & Communication

Gmail, Google Workspace, Outlook, Microsoft 365, Slack, Discord, SMS, MMS, voicemail. Read messages, draft replies, send communications. Email triage that actually triages.

Calendars & Scheduling

Google Calendar, Outlook Calendar, Calendly, Acuity, SimplePractice. Read availability, create events, send invites, manage reschedules. Persistent calendar awareness across all conversations.

CRM & Sales

HubSpot, Salesforce, Zoho, Pipedrive, JobNimbus, Capsule. Push leads with enrichment, update deals, log activities, pull pipeline data. Two-way sync, not just one-way push.

Accounting & Time

QuickBooks Online, Xero, FreshBooks, Wave, Harvest, Upwork, Paymo. Draft invoices, file expenses, log billable hours. Reconcile transactions, run reports, prep for tax time.

Cloud Storage & Docs

Google Drive, Dropbox, OneDrive, Box, Notion, Confluence, Evernote. Read files, create docs, organize folders, search across everything. Files become memory-searchable.

Code & Project Tracking

GitHub, GitLab, Bitbucket, Jira, Linear, Trello, Asana, Monday.com. Read issues, create PRs, update tickets, run code reviews. Built-in IDE for code work.

How it works

From setup to running in minutes

1

Pick what to connect

You don't need everything from day one. Most customers start with 3-5 critical integrations (email, calendar, CRM, accounting) and add more over time.

2

Authenticate once

OAuth handshake for each tool. Stored securely, scoped per-tool, revocable anytime from Account Settings. Token refresh handled automatically.

3

Set the rules

Tell GearHead what to do automatically (file emails, log time) vs what to confirm with you (send replies, push invoices). You stay in control of every write.

4

Cross-tool routines

Set up Routines that span multiple integrations. "Daily: pull yesterday's timesheet from Harvest, draft invoices in QuickBooks, email me a summary." Real cross-tool work.

Real-world examples

Who's using 38+ Deep Integrations

Marketing Agency

One inbound lead, four tools updated

Lead fills out client website form. GearHead enriches via Apollo, creates a HubSpot contact, schedules a Calendly call, drops a Slack notification, drafts the welcome email. Account lead sees it all in one card.

HVAC Business

Call → job → invoice in 30 seconds

Phone agent books a service call. GearHead creates the job in JobNimbus, blocks the tech's Google Calendar, sends the customer a confirmation SMS, and queues the invoice draft in QuickBooks.

Solo Consultant

Weekly invoicing in two clicks

Routine pulls billable time from Harvest, drafts invoices in QuickBooks with proper line items, queues them for one-click send. Two hours of admin work becomes two minutes.

Dev Shop

PR review with context

New PR opens on GitHub. GearHead pulls the issue from Linear, reviews the code, drafts a review comment, posts it to Slack. Senior dev sees the summary and approves in seconds.
